Purpose:ย A purchase requisition is created to formally request the procurement of goods or services, ensuring that the need is documented, approved, and communicated to the purchasing department before any purchase is made.
Accessing the App
Required Role: Procurement
Log in to Luvelo Supply Chain using the mobile app or by visiting app.luvelo.org/supplychain in your web browser.
Creating a Purchase Requisition
Click the hamburger menu (the three horizontal lines) located at the top-left corner of the home page.
On the side menu, click on โPurchase Requisitionsโ.
If you are purchasing the item for the first time, click the plus (+) sign on the top right corner of the page.
Click "Info and Justification" to add the Info and justification of the item that you want to purchase.
Fill out the info and justification details and save. Fields marked with asterisk are mandatory:
Memo: A brief note or reference about the purchase requisition. It can include the purpose, department, or internal reference number for tracking.
Requestor: The person who is initiating the purchase request. This is typically the employee or department staff member who identifies the need.
Responsible Person: The individual accountable for ensuring the requisition is properly processed and followed up. This could be a manager or department head.
Target Date Received By: The desired date by which the requested items or services should be received.
Category: The type or classification of the requested item or service. Often selected from a dropdown menu.
Company: The organization or entity making the request.
Information: A detailed description of the items, products, or services being requested. Include specifics such as quantity, specifications, or preferred brand.
Justification: The reason why the purchase is necessary. This could include operational needs, project requirements, cost savings, or compliance reasons.
Click on Items / Expenses to add the items and expenses needed.
If you are purchasing a product, click on 'Items'. If you are requesting a service from the vendor, click on 'Expense'.
if adding an item, search for the item you want from the list of existing items or add as a new item if it does not exist.
Choose the item by checking the box and click "Add Existing".
Add item details and save:
Quantity: The number of units of the item or service being requested.
Description: A detailed explanation of the item or service being requested. This should include specifics such as model, size, color, specifications, or any other relevant detail that ensures the correct item is purchased.
Linked assets: Any existing assets or items in the system that are related to this purchase. This could include equipment.
Click the back arrow on the top left corner to return to the Purchase Requisition page.
Click on 'Attachments' to upload a picture of the item you want to purchase.
Attach the picture
Click the back arrow on the top left corner to return to the Purchase Requisition page.
Click "Submit" in order to submit your PR.
In order to check the procurement flow and see the current stage of your order, click "Procurement Flow".
After the purchase requisition is approved, you proceed with the purchase order.
