Restock Bin Event

Purpose: Restocking in a warehouse refers to the process of replenishing inventory to ensure that items are always available to meet demand.

Application Roles Required:

  • Restock

The restocking event occurs in 3 different stages, which includes Restocking, Fulfillment and Delivery.

Follow the steps on creating restocking events:

Stage 1: Restocking - This is the stage when the system determines the items that need replenishment. This is done by performing a bin count of items that are currently in the restock bin against expected items quantities from the stock list.

  1. Log in to Supply Chain.

  2. On the home screen, click on "Restock".

  3. Here there is a list of all restock events that were created before. Click on the "+" icon to add a new restock event.

  4. Select the restock type you want to do and click 'Continue'.
    Restock Bin - this event will include a single restock count for a specific bin.
    Restock Group - this event will include multiple restock counts, with each bin in the restock group having its own restock count.
    Replenishment Bin -this event will include a single restock count for this bin. Stock will be dispatched through the EHR and Outpatient applications.
    Replenishment Group - this event would have multiple restock bin counts. Stock will be dispatched via EHR and Outpatient application.

  5. Select the restock bin from the list. Use the search bar to quickly find the bin, then click on it to proceed.

  6. Click 'Create' button.

  7. Click on the restock bin to start bin count.

  8. Physically count the items in the bin and enter the quantity. Once done, navigate back.

  9. Submit the restock event to proceed to the fulfillment stage.

Stage 2: Fulfillment - This is the process of transferring items from the original bin to the fulfillment bin where they will be collected from.

  1. Click on 'Fulfillment'.

  2. Select the fulfillment bin—this is where items ready for delivery to their final destination are placed.

  3. Next, fulfill the items to be dispatched by clicking on 'Items'.

  4. Click on the item to be fulfilled.

  5. From the list, select the bin to take items from and click 'Add Items'. To use an alternative item, click 'Find Substitute'. If the item is unavailable, click 'Not Available'. Repeat this process for all requested items.

  6. Next, take photos of the items you have fulfilled.

  7. Click "Proceed" to submit your fulfillment.

Stage 3: Delivery - At this stage, you will deliver the goods to the recipient. There are three delivery steps to choose from: Driver, Delivery Assistance, and Final Recipient. Select the step that corresponds to the current point in the delivery process.

  1. Go to the stock order and click 'Delivery' to initiate the final stage of the restock event.

  2. Click "+ Add Step" to add a delivery step.

  3. Select the Delivery Step. From the dropdown menu, select Driver if the items will be sent by a driver. Select Delivery Assistant if someone other than a driver will send the items. Select Final Recipient to record the person who will be the final recipient of the items.

  4. Select the final recipient.

  5. Click on the item to be delivered. If a warning sign appears, it means you need to move items from the fulfillment bin to the destination bin. Once the quantity is moved, a green check will appear.

  6. Click 'Move all' to transfer the full quantity of items to the destination bin and save. Repeat this for all items until each shows a green check.

  7. Click 'Photos' to attach all photos of the delivery.

  8. Click 'Signature' for the final recipient to sign.

  9. Finally submit the delivery.

  10. Your delivery will be successfully submitted.
