How to Create Time Allocations

Step by step guide on how to add new time allocations in Luvelo Shifts.

Purpose: To track how much time is spent on a specific task under a certain shift position.

Scenario: As a scheduler, you want to create a shift position named Trainee. This position involves performing multiple tasks, for example, cleaning and doing laundry. The person filling this position will spend 80% of their time cleaning and 20% doing laundry. To define these task distributions, you will use Time Allocations. Here is how to create Time Allocations so they can later be applied to Shift Positions.

Time Allocation: Amount of time assigned to a specific task or activity

Accessing the App

Application Role Required: Shift Configurations Admin

  1. Log in to Luvelo Shifts by visiting app.luvelo.org/shifts in your web browser.

Creating a Time Allocation

  1. Click on 'Other' and select 'Time Allocations'. A new window will open.

  2. From the department dropdown, select the department for which you are creating the time allocation.

  3. Click on the 'New Time Allocation' button to create a new Time Allocation.

  4. Enter the Time Allocation details: Fields marked with an asterisk (*) are mandatory, while those without are optional:

    • Name: The title or label used to identify a specific time allocation category (e.g., Training, Administration, Client Work). Each name must be unique to avoid duplication and ensure clear identification.

    • Code: A short, unique identifier or abbreviation for the time allocation (e.g., TRN, ADM, CLW).

    • Departments: The departments within the organization to which this time allocation is linked to.

    • Company: Specifies which company or business entity the time allocation belongs to (useful if multiple companies are managed in the same system).

    • Status: Indicates whether the time allocation is Active or Inactive (only active ones can be used).

  5. Click the 'Save' button to save the new Time Allocation.
