Employee kiosk

Employee kiosk is an application that can be used by employees for different selected functions. It is mainly used on iPads that are located in different centralized kiosk stations. Employee kiosk stations are identified by an iPad on a stand and are found in different buildings on dedicated areas around Campus (mainly MPR, SCSC, TOB, W03 Office and TLCE).

Before you start - Before you can use the employee kiosk app, you will need the following:

1. Access to an employee kiosk station

2. Employee kiosk app that has been pre configured on dedicated iPads

3. Be an an active employee

Login into employee kiosk

Step 1 - When login into employee kiosk, you need to first find your name by searching it or entering your UID. Once you have found your name, tap on it to choose it.

Step 2 - Once you have selected your name, you need to take a photo of yourself to validate yourself via facial recognition. This is for security measures and making sure that no one uses someone else's account for the different functions.

Note: The picture needs to be a clear picture of your face and avoid having other people showing on the picture. You must focus on the iPad camera when taking a picture.

Common errors when login in

1. Error - Photo is not clear. Try again: This occurs if the photo you have taken is not clear for various reasons. I could be that the light is not enough, other people/faces are showing on the photo or you did not focus well on the camera. For that reason, facial recognition fails to identify that photo and gives the error message.

Solution - Try to take a clear photo with enough light avoid having other faces showing on the photo. Also make sure your eyes focus on the camera.

2. The connection has timed out: This is normally due to internet connection issue. When internet connection if very poor, the system fails to upload he photo and sends the error message.

Solution - Switch connections between Mobile Data/3G and WiFi.

How to switch connection: On the iPad, swipe down from the top right screen edge with your finger to open control center. Then the control center will show. Select the desired connection from the control center screen.

- If connected via WiFi, the iPad needs to switch to Mobile Data/3G

- If connected via Mobile Data/3G, the iPad needs to switch to WiFi

You can seek assistance from the ICT team if needed.

3. Request failed with an error - This error can be associated with different issues.

Solution - Click on the error message to close it and try again. If error persist then you need to take a screenshot and report to ICT immediately.

Once you have successfully logged in, you can then be able to do different available functions on the kiosk app. These functions include:

  • Clocking In/Out

  • Submitting Leave Request

  • Viewing your Pay Slip

  • Documenting a Sick Note

  • Submitting a Timesheet Correction

Clocking In/Out - To Clock In/Out you need to choose the Clock In & Out option. You will see the different shifts that are assigned to you for that week. You will only be able to clock in/out on the current shift. You will only have the clock in option/button if you haven't yet clocked in. If you have already clocked in, then you will only see the clock out option/button. Press the clock in or clock out button to execute action. You will then see your shift summary and you can press Finish once done.

Submitting Leave Request - To submit a leave request you need to choose the Leave Request option. You will then have to choose New Leave request. Enter your leave request details which include start date of leave, end date of leave, leave type and leave reason. Once you have correctly entered those, you can then press submit.

You can also be able to see status of prior request by pressing "View Requests" on the request day off screen.

View Payslip - To view Payslip/PAYE you need to select Pay Slip. You will then have to select the payslip period you wan to view. After selecting the period, you will receive a One-time pin on your personal phone number which you will have to enter to be able to view your payslip. For PAYE, you can switch to the PAYE tab to see available PAYE document. Select the the one you want to view and enter One-tike pin sent to your personal phone number to view your PAYE.

Note: If you fail to receive code, you can press the "send code again" option and if the problem persist then you can report the issue on slack.

Documenting Sick Note -To document a sick note you need to select document sick note. You will then have to choose new sick note. Enter your sick leave details which includes start date sick leave, end date sick leave, reason and attach sick note. Once you have correctly entered those details, you can then press submit.

You can also be able to see status of prior request by pressing "View Sick Note Submission" on the sick note screen.

Submitting a Timesheet Correction - To submit a timesheet correction you need to select timesheet correction. You will then have to choose new timesheet correction. Select the shift you want to correct, enter the details and press submit.
