Purpose: To remove an employee’s access to the system when they are no longer with the company, while retaining their records for HR, payroll, and reporting purposes. Deactivation ensures the employee can no longer log in or be assigned tasks, while maintaining historical data for compliance and organizational records.
Accessing the App
Required Role: HRManager
Log in to Luvelo HR using the mobile app or by visiting app.luvelo.org/hr in your web browser.
Deactivating the Employee
From the home screen, select "Employees". This will display the full list of employees currently in the system.
Search for the employee you want to deactivate. You can search using the employee’s name or UID (Employee Number).
Once you have found the employee, click on their name.
Click the Employment tab.
Click the pencil icon within the Employment Details section to edit the information.
Under status, choose one of the two:
Deactivated: Indicates that the employee is no longer with the company. Their system access is removed, but their records are retained for HR, payroll, and reporting purposes.
Inactive: Indicates that the employee is temporarily not active in the system (e.g., on long-term leave or a temporary assignment pause) but still employed by the company. They may retain limited access depending on company policy.
If you choose Inactive, click Save to apply the changes.
If you choose Deactivated, select an End Date.
Choose the Exit Method and click Save.
