How to Approve a Schedule for Publishing

Purpose: To review a drafted schedule, so it can be approved and published to employees — or rejected and sent back for corrections.

Accessing the App

Using your computer browser, log in at app.luvelo.org/tasks or access an application like Slack/Microsoft teams to view the approval messages.

Reviewing the Request for Schedule Approval

  1. View the approval request under the Approvals tab as a pending task.

  2. Review the drafted schedule directly by clicking on the task card to automatically download the PDF version of the schedule or viewing the thread to which the message was sent.

If Rejected:

  • Click on ‘Reject’ and provide a justification before confirming the rejection. The Scheduler is notified, along with the justification; they will have to make the necessary corrections and resubmit the schedule for re-approval.

If Approved

  • Click on ‘Approve’. The schedule is automatically published to all departmental staff members — no separate publish step is needed.

  • Departmental staff are notified via SMS. They can also view their published shifts in Luvelo MyWork as well as on Luvelo Employee Kiosk when they clock in/out.

Important Notes:

  • If the Scheduler edits the schedule while an approval request is still pending, that request is automatically cancelled and must be resubmitted.

  • If changes are made to a schedule after it has already been approved and published, it must go through the submit-and-approve cycle again for the changes to take effect.
