Purpose: To get your schedule to employees, either publish it directly or submit it for Manager approval first, depending on your department's workflow.
Accessing the App
Using your computer browser, log in at app.luvelo.org/shifts
Application Roles Required:
ShiftsAllDepartments: Schedule & Assignments access for all departments.
ShiftsSelectDepartments: Schedule & Assignments access for select departments.
Scenario A: Publishing the Schedule Directly (No Approval Required)
Follow these steps to publish a schedule:
To publish a schedule, you have to click 'Publish' and confirm.
If there are any errors, a popup error message will show prompting the user to check and fix them. See how to perform Scheduling QA (Quality Assurance).
If changes are made after schedule has been published, it will need to be published again for the changes to be effective.
Scenario B: Submitting the Schedule for Approval
Build and QA the schedule (see how to perform Scheduling QA (Quality Assurance))
Click ‘Publish’.
Click ‘Ok’ to confirm submission. A success message will display to confirm the schedule has been sent for approval.
What happens next:
An approval request message that contains the schedule details and a schedule PDF preview are sent to Slack and to the Manager via the Tasks application:
If rejected — the scheduler will be notified via a message which contains the Manager's reason for rejection. They will be required to make corrections to the schedule and repeat Steps 4-6 to resubmit.
If approved — the schedule is published automatically and sent to departmental staff via SMS. No separate publish step is required. The schedule will also be visible on the user's Luvelo My Work application, as well as on the Luvelo Employee Kiosk application when they clock in/out.
Important Note:
If you edit the schedule while an approval request is still pending, that request is automatically cancelled and the schedule will need to be resubmitted. If you edit a schedule after it's already been published, you'll need to resubmit it for approval — the changes won't take effect until it's approved again.
