Auto Add Shift Positions to Schedule with Event Templates

Use Case

  • You need to support regular events which require specific roles to be filled, such as a driver, technician, and assistant. Common use cases are site installations, mobile teams, customer follow-ups, or events hosting. Your business activities may not occur on the same day each week, so adding these shift positions to a weekly template is not ideal. Event templates allow you to automatically add the necessary shift positions to your schedule on the specific days that the events occur.

Key Terms

  • Event: Dedicated business activity which does not occur daily.

  • Event Team Group: Group of people starting at the same time to support a particular business event. For larger events, especially in mobile settings, you have a single event supported by multiple teams in the same day, and each team starting at a different time.

  • Core Team: Team of people assembled to support a similar type of an event on a recurring basis (such as a Maintenance Team). The actual people filling the positions in a core team may change day-to-day, but the function of a core team typically remains the same.

  • Event Team: A group of people on a core team for a given day.

  • Event Template: Set of shift positions that will automatically add to a schedule when the event template is linked to an event.

  • Event Template Group: Group of people supporting an event who start and end work at the same time. There may be multiple groups supporting an event such as an early-shift or closing shift.

Prerequisites

Steps to Apply Event Templates

  1. Log in to the Shifts application.

  2. Select Site if you have not already done so.

  3. Click Event, locate the Event that you want to add to the template to and click 'View Groups'.

  4. Choose the Event Template that you want to apply and click on 'Add Group' in order to add the groups of employees who are going to facilitate the event. Click 'Save' once you are done. (Note: If you do not see any event templates or the template you're looking for, make sure that the Event Mechanism configured at [company].luvelo.org/operations/Events is the same mechanism as the Events Template you created in the Shifts application)


    A warning dialog will appear that if you have already scheduled group start times in your schedule for the week for this particular event, they will be overridden by the event template once the event template is applied.

  5. Confirm the desired start and end times for your teams supporting the event. Add as many groups as necessary. These times will then determine the start and end times of the shift positions created within the actual schedule. When finished, click 'Save'.
