Onboarding Guide: Setting Up the Luvelo Scheduling Application

This step-by-step guide helps you onboard new clients to the Luvelo Scheduling App.

Step 1: Create Sites

Summary:
Sites represent physical or operational locations (e.g., branches, warehouses, stores) where employees will be scheduled to work. This is the foundation for location-based planning.

  1. Using your computer browser, Log in at app.luvelo.org/configuration

  2. Add New Site Details

    Enter name, address, and type of site. How to add a new site?

Step 2: Configure Your Organization

Module: Organization

Summary:
Set up your company's foundational structure. This step ensures that departments, work levels, and holidays are in place before assigning employees.

What to do:

  1. Using your computer browser, Log in at app.luvelo.org/organization

  2. Create Company Profile
    Add your organization's name, primary location, and contact information. How to set up a company name?

  3. Define Grades
    Set up employee grades like Intern, Supervisor, Manager, etc. How to add grades?

  4. Add Holidays
    Enter national/public holidays or any company-specific off days. How to add Holidays?

  5. Add Departments
    Create departments like Operations, IT, Customer Service, etc. How to add department?

Step 3: Add and Structure Employees in HR

Module: HR

Summary:
Enter your workforce into the system and associate them with the appropriate departments.

What to do:

  1. Using your computer browser, Log in at app.luvelo.org/hr (You can also download the Luvelo HR mobile app)

  2. Add Employees

    Enter each employee’s details, such as full name, contact info, ID/passport. How to add a new employee?

  3. Link to Departments
    Ensure every employee is assigned to an existing department from Step 1.

Step 4: Configure Scheduling Parameters

Module: Shifts

Summary:
This is where you define how shifts work: from work hours and roles to templates and actual schedules.

What to do:

  1. Using your computer browser, Log in at app.luvelo.org/shifts

  2. Time Allocations

    Define and manage time estimates required to fulfill specific positions. How to create new time allocation?

  3. Time Codes
    Create codes such as REG, OT, SL to track working and leave hours. How to add new timecodes?

  4. Skillsets
    Define the skills needed for various roles, e.g., Driving, Inventory Management. How to add and manage skillsets?

  5. Positions
    Set up job titles (e.g., Cashier, Driver) and link skillsets. How to add new position?

  6. Templates
    Build reusable weekly or monthly schedule templates. How to create shifts weekly template?

  7. Assignments
    a. Generate weekly employee schedules using templates or previous weeks' data and assign personnel. How to create assignments?

    b. Assign employees to generated assignments shift positions. How to assign employees to shift positions?

  8. Assign applicable timecodes and QA schedule
    Use the templates and assignments to publish actual working schedules.
